We've all been there. You close a new client. Awesome. Then the dread sets in. You have to open that dusty Word document, hunt down every single highlight, and swap out names and prices. Miss one? You look like an amateur. Soul-crushing admin work. Actually, it's completely avoidable. If you want to automate client contracts, you just need two tools. Airtable and Zapier.

Your New Database Brain

Dump the spreadsheets. We are using Airtable. Think of it as Excel's smarter, better-looking cousin. Create a base for your client onboarding. You need a few basic columns. Client Name, Company, Email, Project Scope, and Total Fee. Add a checkbox column labeled "Generate Contract." That little checkbox is about to become your favorite button on the internet. It's the trigger for your entire airtable document generation workflow.

The Fill-in-the-Blank Masterpiece

Now you need a template. Open Google Docs. Write your standard iron-clad agreement. Here is the trick. Wherever you usually type a client's name, write {{Client_Name}} instead. Do the exact same thing for the project fee, the date, and the deliverables. These weird bracketed words are merge fields. Zapier looks for these exact tags and injects your database text straight into them.

Wiring It All Together

Time for the heavy lifting. Open Zapier. Make a new Zap. Your trigger? "When a record matches conditions in Airtable." Set it to fire only when you click that exact checkbox. The action? "Create Document from Template in Google Docs." Zapier will ask you to match up your Airtable columns with the bracketed tags in your document. Point the Name column to the name tag. Point the Fee column to the fee tag. This is the core zapier contract workflow.

Put the Robots to Work

Test the Zap. Go back to Airtable. Check the box. Wait about ten seconds. Check your Google Drive. A perfectly formatted, ready-to-sign contract just appeared out of thin air. No typos. No leftover names from your last client. Add one more step in Zapier to instantly email that PDF to the client. Setup takes maybe twenty minutes. Once it's done, you never manually type up an agreement again.
